PHOTO & VIDEO CONSENT POLICY

1. Introduction

Hello Space receives significant national media coverage, including broadcasts on Bulgarian National Television (BNT), BTV, Nova TV, and online platforms. This policy explains how we handle photographic and video content of festival participants, particularly children, in compliance with GDPR Article 6(1)(a), Article 7, and Article 8.

2. What We Capture

  • Event photography — ambient crowd shots, workshops, demonstrations, exhibitions
  • Individual participant photography — competition winners, Q&A participants
  • Video footage — lectures, demonstrations, ISS/CERN downlink sessions, highlight reels
  • Live streaming — via social media and national broadcast television
  • Post-event promotional content — videos and photos for future editions

3. Consent for Children Under 16

Before publishing any identifiable image or video of a participant under 16, we require explicit written parental or guardian consent for:

  • Any photograph in which the child is clearly identifiable
  • Promotional video content featuring the child
  • Press materials, news articles, or social media posts
  • Live streaming of the child’s question during the ISS/CERN downlink event

Consent is obtained via:

  • A mandatory checkbox in the online ticket registration form
  • A physical consent form signed at the event registration desk
  • A separate form for selected ISS/CERN downlink question participants

4. Public Event — Ambient Photography Notice

Hello Space is a free public event at a public venue. By attending, all attendees acknowledge that:

  • The event will be photographed and filmed
  • Media organisations may photograph/film the general crowd
  • General ambient crowd footage of a public event may be captured without individual consent under applicable law

If any attendee does not wish to be photographed, they should inform a festival staff member and we will make reasonable efforts to accommodate the request.

5. Consent Categories

Category A — Internal only

Jury deliberations, internal records. No media consent required.

Category B — Website & social

hello-space.eu, Facebook, Instagram, YouTube. Requires consent.

Category C — Press & broadcast

Sharing with journalists, TV, news agencies. Requires consent.

Category D — Future promotion

Use in future editions’ promotional materials. Requires separate explicit consent.

6. Competition Artwork

  • Artwork remains the child’s intellectual property.
  • Publication of artwork with the child’s name requires parental consent.
  • Artwork is never used in commercial advertising or sold to third parties.
  • Images will be removed from our website and social media within 14 days of a parental withdrawal request.

7. ISS / CERN Downlink & Live Broadcast

  • A separate written consent form is sent to parents/guardians of shortlisted question participants.
  • The downlink may be recorded by NASA, the U.S. Embassy, ESA, CERN, and/or Bulgarian broadcasters.
  • Content broadcast on third-party platforms (NASA, BNT) may not be fully removable — parents will be informed of any such limitations in advance.

8. Withdrawing Consent

  1. Email info@hello-space.eu describing the image/video and where it appears.
  2. We confirm receipt within 5 working days.
  3. Content is removed from our platforms within 14 days.
  4. For third-party media already broadcast, we will advise on limitations.

9. Retention

  • Event photographs/videos: retained up to 3 years, then reviewed for continued necessity.
  • Physical consent forms: 3 years after the event, then securely destroyed.
  • Digital consent records: 5 years (GDPR compliance evidence).
